Custom software development for operational workflows

HED Creative designs and builds software where packaged products stop fitting: internal applications, dealer and customer portals, management views, and connections to the ERP or CRM you already run. The job is a working application, not a technology showcase.

Why companies look for custom software

Critical work often lives in spreadsheets, inboxes and disconnected tools. Orders in one place, stock in another, dealers in chat, leadership in a weekly merge. Packaged software is fine for accounting or a mature CRM. Custom development becomes the honest option when the process, permissions or three systems cannot carry the same record.

Duplicate manual work

The same order or stock figure is typed more than once. Errors surface late; no one can name the source of record.

Systems that do not speak

ERP, CRM and sheets sit side by side. Handoff depends on people — and stalls when someone is away.

No operational picture

Without calling around, nobody sees where an approval or shipment sits. The report is last week’s file.

Customers and dealers in email

Price, stock and status run by phone and chat. There are no entitlements — inside sales repeats the same answer.

What HED Creative actually builds

Discovery makes the stalled process, the source system and what version one must do explicit. Software then becomes the record-keeping layer of that flow — not a generic transformation pack. If a packaged product already carries the process, we say so. Custom work only with a reason.

Packaged product or custom software

Custom software is the better fit when workflow, permissions, reporting or system connections cannot sit economically inside a standard SaaS product. Accounting or a mature CRM often stay packaged. The decision is not “every company is unique”; it is which record lives where, and who is allowed to change it.

What the engagement covers

Internal business applications

Quoting, orders, production, field work or approvals in one coherent run.

Customer and dealer portals

Price, stock, orders, documents — by permission, not a public catalogue with a login.

Management dashboards

A picture you can run the business on: status, backlog, delivery.

Workflow automation

Repeating handoffs and alerts that no longer disappear in chat.

ERP and CRM connections

The source record stays where it belongs. The app does not invent a second truth.

APIs and existing systems

A layer in between that talks, logs and fails in the open.

Situations this is built for

Distributor orders still in a sheet

A manufacturer collecting dealer orders by email and Excel usually needs a portal tied to the ERP — not a second stock list.

Approvals lost in threads

If nobody can see whose desk a quote or quality file sits on, the first application fixes that stall — not “a platform for everything”.

Field and office disagree

Notes in WhatsApp, masters in the ERP: the issue is where the record is born and who may change it, not the skin of the screen.

The CRM does not match sales

Mandatory fields slow the team; the pipeline does not fit the product. A layer or adaptation is often more honest than a second CRM.

Who this is for

  • Manufacturers and B2B firms outgrowing spreadsheets and email
  • Companies with dealer, export or multi-site sales
  • Operations and IT leaders whose packaged software does not match the workflow
  • Teams that need a software company to take over an app or start with a small phase

What should change

  • Less duplicate entry. A record is created once and handed on, not typed three times.
  • The process becomes visible. Where work sits is visible without a round of calls.
  • External partners self-serve. A dealer or customer sees what they are entitled to see.
  • Room to integrate later. Version one does not solve everything; it leaves an application you can connect to.

How delivery actually runs

Scope is not inflated. What version one includes is written down. These steps are not decoration — each one produces a decision.

01

Discovery

Workflow, systems, permissions, the cost of leaving it. This step is not an order.

02

Scope and architecture

The boundary of version one, the source system, integration assumptions.

03

Workflow and interface

Screens follow the process. Who sees, who changes.

04

Development

Usable slices. You see the state; there is no big-reveal handover.

05

Integration and testing

Connections, rights, failure cases. Silent overnight jobs are not operations.

06

Launch

Data, permissions, a short handover. When the old channel closes is a separate decision.

07

Ongoing development

The same team can stay for care and small evolution. Ownership stays explicit.

Technology, only where it helps the buyer

We build web applications with Next.js and TypeScript. Integrations use an API, file exchange or an existing layer — chosen in discovery, not as a logo wall. Whether your ERP or CRM can actually connect is confirmed, not assumed from a product name.

Why HED Creative

Business first

Package, integrate or build is separated in discovery. We do not inflate software to win a pitch.

Berlin and Ankara

Legal seat in Berlin. Delivery from Berlin and Ankara. No invented headcount.

A written boundary

What version one excludes is on the page. We decline “build everything” briefs.

Integration from the start

The source system is not an afterthought. A portal without that truth is just another page.

Commercial concerns we hear

Can you work with our existing systems?

If an API or documented export exists. Feasibility is confirmed in discovery.

Do we need a full specification first?

No. Discovery produces a short written scope. An 80-page RFP is not a prerequisite.

Can you take over an existing application?

After we have seen the code and access. No blind takeover; risk and phase one are written separately.

Can you work with our internal IT team?

Yes. Rights, environments and ownership are split. A partner does not have to replace the internal team.

Questions about custom software

When is custom software a better fit than SaaS?

When workflows, permissions, reporting or integrations cannot be handled efficiently by a standard product. Accounting or a mature CRM often stay packaged.

Does the first release have to do everything?

No. The critical path first. A first version people actually use beats an overloaded specification.

What do you need for an initial estimate?

The stalled process, the systems in use, and who must do what in version one. An 80-page specification is not required; gaps are written in discovery.

Who looks after it after launch?

The same team can continue. A retainer is available, not mandatory.

Who owns the code and infrastructure?

You do. The application is your asset; we do not sell a locked box without access.

Tell us what you want to improve, replace, integrate or build

A short note on the current flow and the first phase is enough. We will say plainly whether custom software is the right move.

Tell us about your project

The process, the systems you run and what version one must achieve are enough. This form is not an order.

We say first whether custom software is warranted. If it is, discovery and a written scope are the next step. We do not quote a guaranteed reply time; the request is not ignored.
